  • ADMINISTRATIVE - Maintaining a calendar of official meetings and travel for members of the Monitoring Group; Submitting travel authorization in the Information Management Information Systems (IMIS) for regional travel and for certification; requesting itinerary from travel agency and coordinating travel information with the Group; obtaining security clearances for regional travel, where appropriate; securing visa requirements for each expert; arrangement of airport pick up and drop off for high level officials and support to expediting of customs and immigration procedures, inputting of invoices for payment in IMIS; submission of travel requests to UNON Finance Unit for all regional travel of the experts; maintaining the attendance register for office personnel; preparing the monthly attendance report of the Group for the signature of the Coordinator; preparing monthly reports of the Group for the signature of the Coordinator; Acting as liaison between the Finance Unit, the Group and the Administrative Focal Point. Ensuring that the consultants Visa and work permits are processed according to UN requirements.
  • CLERICAL - Preparing draft letters/replies, finalize routine correspondence and maintaining the smooth flow of correspondence; maintaining the office files; organizing and filing all incoming and outgoing correspondence and circulate to members of the Monitoring Group as appropriate.
  • LOGISTICAL: Coordinating movements in and around Nairobi for Monitoring Group members; supervising and coordinating the activities of the office drivers; ensuring the accuracy of vehicle log books; ensuring, in coordination with UNON and the Administrative Focal Person of the Security Council Subsidiary Organs Branch, the good order of office equipment and timely availability of supplies and stationery. Ensuring security arrangements are available for consultants whenever needed.
  • HUMAN RESOURCE: - Screen, vet and shortlist candidates for further consideration for employment. Carry out interviews, selection and general recruitment of candidates. Provide orientation and training for new staff members. Ensure that the consultants contracts and for the staff members are fully compliant.
  • TELEPHONE BILLING/COMPUTER HARDWARE: - Liaise with UNON IT in regards to new device and line subscriptions. Follow up on telephone billings, making sure that the indicated bills are vetted and corrected before submitting to budget for deductions. Maintained and established digital and hardcopy filing system for the department.
  • Perform other duties as assigned.
